Roommate Change Information
If you are looking to continue to lease your apartment but your roommate needs to move away here is the process:
You will need to ask your landlord for permission through your Property Manager. Your landlord has the right to deny a roommate change. Some landlords limit the amount of roommate changes per unit and some do not allow them at all. This is always on a case by case basis.
- If your landlord DOES allow a roommate change, it is your responsibility to find a new roommate that qualifies for the apartment.
- There is a roommate change fee of $250 that you are responsible for paying. The change will not be completed unless this fee is paid.
- Once you have found a new applicant, please send your Property Manager their full legal name and email address. Your property manager will then send the applicant a link to the online application. Please note that there is a $75.00 application fee and the applicant is required to furnish us with proof of employment (letter from their employer stating how long they have worked there and what their salary is, or two copies of their most recent pay stubs). If the applicant does not use email or the internet we can provide them with a paper application.
- Once the application is submitted your Property Manager will process the application and get back to you within 2-3 business days. Please note that your Property Manager will ONLY process applications that have been fully completed. If you have two people moving out, we will need applications from both new applicants prior to moving forward.
- If the applicant(s) is approved your Property Manager will furnish you with the lease change paperwork.
- There are two ways of addressing the prior tenant’s security deposit.
- The prior tenant confirms in writing that they are transferring their security deposit to the new tenant. The new tenant cuts a check directly to the prior tenant. Both tenants furnish the Property Manager with proof of this agreement in writing via regular mail or email.
- The new tenant provides the Property Manager with a check for the security deposit along with all other paperwork and checks. The Property Manager will refund the prior tenant in full via certified mail return receipt. Please note that the turnaround time for the security deposit check is 30-45 days from the move out date or from when the paperwork is fully submitted, whichever is the latter of the two.
- Once the lease change paperwork has been fully executed by all tenants, you need to drop it off at the appropriate office with everything together. We will not hold on to checks or incomplete paperwork, it will be given back to you.
- Once the change paperwork or lease has been fully executed, your Property Manager will furnish you with a copy and send an invitation for the online portal to the new tenant if they provide us with their email address.
A few additional things to note.
- There is no turnover work done during a roommate change, meaning no painting, carpet cleaning, correcting damages from prior tenants etc. Of course if your stove stops working or if your heat is out your Property Manager will work with your landlord to address those items.
- The oncoming tenant and the existing tenant are fully responsible for any damage that was created since the property was last vacant. If your roommate that is leaving painted their room bright red you may want to talk to them about painting it before they leave.
- If you live in a condo building, it is your responsibility to schedule your move and pay any applicable fees or deposits with the Property Manager for the Condominium Association or a board member of the Condominium Association.
When you are ready to inquire with your Property Manager about this process, please allow them at least 30 days to complete this change. It is in direct violation of your lease to have someone move in without first being approved and added to the lease. Also the prior roommate that moved out would still be responsible for the property. Subleasing is not permitted without authorization from the owner.
